1. Agreement to these terms
These Terms of Service (“Terms”) are a legal agreement between you and Dr. Landlord (“Dr. Landlord,” “we,” “us,” or “our”) governing your use of the Dr. Landlord website and application (the “Service”). By creating an account or otherwise using the Service, you agree to these Terms. If you’re using the Service on behalf of a company or other organization, you’re agreeing on its behalf and confirming you have the authority to do so.
2. What Dr. Landlord is
Dr. Landlord is property management software: properties, tenants, rent and maintenance tracking, vendor management, reporting, and a separate portal your tenants can use to pay rent and submit maintenance requests. Some features use automated, rule-based logic (we describe it as “AI-assisted”) to triage maintenance tickets and suggest a priority or summary. These suggestions are informational only, are not a substitute for your own judgment, and are never a substitute for professional advice. If a maintenance issue is genuinely dangerous, such as a gas leak, fire, or loss of power in extreme weather, act immediately and contact emergency services or a licensed professional directly — don’t wait on anything in the app.
3. Accounts and eligibility
- You must be at least 18 years old and able to form a binding contract to use the Service.
- The information you give us when creating an account must be accurate, and you’re responsible for keeping your login credentials confidential and for all activity under your account.
- If you invite team members or your tenants sign up for the tenant portal, you’re responsible for their access to your organization’s account and data, consistent with the roles and permissions you assign them.
- To help you with a question or problem, authorized Dr. Landlord support staff may look up your account and its tenants, owners, and records, including through a read-only view of your account. That access is limited to providing support, and every time it happens it is logged. See our Privacy Policy.
4. Your responsibility for tenant data
As a landlord or property manager using Dr. Landlord, you control what tenant information gets entered into the Service — names, contact details, lease terms, payment records, and anything else you or your tenants add. You’re responsible for having the right to collect and store that information, and for using it in line with the landlord-tenant, fair housing, and privacy laws that apply to you. Dr. Landlord provides the tool; how you run your rental business with it is on you.
5. Free doors and free trial
Every feature is available to every account. Your first 2 doors (rentable units) are free and need no credit card. Every new account also has all of its doors open for the first 30 days, with no credit card required and nothing charged. After that, if you want to keep more than 2 doors you’ll need to start a subscription and enter payment details; your data stays either way, and the free limit only stops you from adding more doors.
6. Billing and payment
Your subscription is billed by the number of doors (rentable units) you have, monthly or yearly: your first 2 are free, then $1.50 a month for each additional door, with no minimum and no cap (or the yearly equivalent with the yearly discount). Doors you archive stop counting, and your bill follows the count with a prorated charge or credit. Subscriptions are billed in advance and renew automatically until cancelled. Current pricing is shown on our pricing page. All payments are processed by Stripe — we never see or store your full card number. If a payment fails, we may restrict adding doors until it’s resolved.
Two logins are included. Each extra team seat is $5 a month, billed with your subscription, prorated when you add or remove one. We may change prices with notice.
Online rent payments. If you let tenants pay rent online, each payment is charged the card or bank processing cost plus a flat $1.00 platform fee, the same for every account, as shown on our pricing page. The fee is deducted from the amount sent to your bank account. You can choose to pass these costs on to tenants as a convenience fee; you are responsible for making sure any tenant fee is allowed where your property is located. Processing rates are set by Stripe and may change.
7. Cancellation and refunds
You can cancel anytime, effective at the end of your current billing period — you keep access until then. See our Refund & Cancellation Policy for the full detail on how billing, cancellation, and refunds work.
8. Closing your account and data retention
You can close your account entirely from Settings at any time. Once closed, we keep your organization’s data for 90 days in case you want to reactivate — after that, it’s permanently deleted from our systems, except where we’re required to keep certain records (like billing history) longer by law.
9. Acceptable use
You agree not to:
- Use the Service for anything illegal, or in a way that violates fair housing or landlord-tenant law.
- Send abusive, harassing, or deceptive communications to tenants or anyone else through the Service.
- Try to breach, probe, or circumvent the Service’s security, or access data that isn’t yours.
- Interfere with the Service’s normal operation, including through excessive automated requests.
- Resell or provide the Service to others as if it were your own product.
We may suspend or terminate accounts that violate these Terms, don’t pay for a subscription, or put the Service or other users at risk.
10. Third-party integrations
You can optionally connect Dr. Landlord to Google Drive/Sheets, Dropbox, or Microsoft OneDrive. Those integrations are governed by your agreement with those providers as well as these Terms, and we aren’t responsible for how those third-party services operate.
11. Who owns what
We own the Dr. Landlord software, brand, and everything about how the Service works. You own the data you put into it — your properties, tenants, documents, and records. We only use your data to provide and improve the Service, as described in our Privacy Policy.
12. Disclaimers and limitation of liability
The Service is provided “as is,” without warranties of any kind, express or implied. We don’t guarantee the Service will be uninterrupted, error-free, or fit for a particular purpose, and automated features (including AI-assisted triage) may be wrong — always use your own judgment. To the fullest extent permitted by law, Dr. Landlord’s total liability to you for any claim arising from these Terms or your use of the Service is limited to the amount you paid us in the 12 months before the claim arose.
13. Indemnification
You agree to defend and indemnify Dr. Landlord against any claims, losses, or expenses arising from your use of the Service, your violation of these Terms, or your violation of any law or third party right in connection with data you enter into the Service.
14. Governing law
These Terms are governed by the laws of the State of Kansas, without regard to its conflict-of-law rules.
15. Changes to these Terms
We may update these Terms from time to time. If we make a material change, we’ll update the effective date above; continuing to use the Service after a change means you accept the updated Terms.
